Administration Assistant:

We are looking to recruit an Administration Assistant to provide administration support within a busy commercial department, approximately 30 hours per week with some flexibility required to cover sickness and holidays.

Knowledge of the construction industry would be beneficial, but is not essential, however the ideal candidate will fit the following criteria and have the ability to excel in the requirements of the job description.

A positive attitude is essential and a willingness to adapt to changing conditions.
A team player willing to support the other members of the department by efficiently and effectively undertaking various administration tasks.
Candidates will have excellent IT Skills, in particular MS Outlook, MS Word and MS Excel. A working knowledge of MS Access & MS Publisher would be beneficial. A good telephone manner is essential.

Functions of the job will include:

Reception duties involving both telephone & e-mail enquiries.
Typing general correspondence, purchase & subcontract orders and contract notices.
Monitoring and recording subcontract payments & payless notices.
Estimating support including sending out enquiries, monitoring & logging returns, document registration and control.
Downloading tender documents from tender portals, monitoring portals for updates and new tenders, uploading tender submissions.
Monitoring and updating Employment and Skills plans.
Assistance with and co-ordination of Quality Submissions for tenders.
Entering and maintaining project, enquiry and contact details in our Document Management system.
Photo copying and scanning of documents.
Filing and archiving.
Any other office duties as required by the team.

Salary negotiable, dependent upon qualifications and experience.
